The OC Book Fair ("OC Book Fair," "we," "us," or "our") is a community event fiscally sponsored by the Tustin Community Foundation. This Privacy Policy explains how we collect, use, and protect information when you visit theocbookfair.org (the "Site") or interact with our forms, applications, and linked third-party services.

By using the Site, you agree to the practices described in this policy. If you do not agree, please do not use the Site.

1. Information We Collect

Information you provide directly

  • Contact information you send us by email (e.g., name, email address, and the content of your message) when you reach out via our Contact Us link.

  • Information submitted through our Author Application, Exhibitor Application, Volunteer Form, or similar sign-up forms hosted on Google Forms. This may include your name, email address, phone number, mailing address, business or organization name, and details about your submission (e.g., books, products, or services you plan to bring).

  • Information you provide if you sponsor the Fair or donate through our Raisely-hosted sponsorship page, or if you purchase merchandise through our Bonfire store. These transactions are processed entirely by Raisely and Bonfire — we do not receive or store your payment card details.

Information collected automatically

  • Like most websites, the Site (built on Squarespace) automatically collects some technical information when you visit — such as IP address, browser type, device information, and pages viewed — typically through cookies and Squarespace's built-in site analytics.

2. How We Use Information

We use the information we collect to:

  • Communicate with you, including responding to inquiries;

  • Review and process author, exhibitor, volunteer, and sponsor applications;

  • Coordinate event logistics with authors, exhibitors, volunteers, and sponsors;

  • Improve the Site and understand how visitors use it; and

  • Comply with legal obligations.

We do not sell your personal information, and we do not use it for purposes unrelated to the Fair without your consent.

3. Third-Party Services

Several features on the Site are provided by third parties, each with their own privacy practices:

  • Google Forms / Google Workspace — author, exhibitor, and volunteer applications.

  • Raisely — sponsorships and donations.

  • Bonfire — Fair merchandise sales.

  • Instagram — linked from our Site for social media.

  • Squarespace — our website hosting platform, which provides site analytics.

We encourage you to review each provider's own privacy policy, since your information is subject to their terms once it leaves our Site. We are not responsible for the privacy practices of these third-party services.

4. Cookies

The Site may use cookies and similar technologies (via Squarespace) to operate properly and understand site traffic. You can control cookies through your browser settings; disabling them may affect some Site functionality.

5. Children's Privacy

The Fair welcomes families and children as event attendees, but the Site itself is not directed at children under 13, and we do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided us with personal information, please contact us at info@theocbookfair.org so we can delete it.

6. Your Choices and Rights

‍You may:

  • Ask what personal information we hold about you and request a copy;

  • Ask us to correct or delete your personal information;

  • Unsubscribe from email communications by contacting us directly.

California residents: We do not sell personal information. To the extent the California Consumer Privacy Act (CCPA) applies to us, you may request access to or deletion of your personal information by emailing us.

7. Data Retention

We retain application, volunteer, and sponsorship information for as long as needed to plan and run current and future Fairs and maintain our records, after which it is deleted or anonymized.

8. Security

‍We take reasonable measures to protect information submitted through our forms, but no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Changes to This Policy ‍

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision. Continued use of the Site after changes are posted constitutes acceptance of the updated policy.
